How to Participate in NGO India 2012
                                 
GuideStar India is delighted to announce the launch of the first edition of NGO India 2012 (www.india-ngo.org) a not-for-profit large scale exhibition and conference designed to bring together NGOs from across India to share learning and best practices and engage with key stakeholders including local and international corporates, foundations, government and the general public. NGO India 2012, is being organised by UBM India, a global business media company that does over 50 exhibitions and conferences every year in India. NGO India 2012 will be held from March 16-18 at Epi Centre, Gurgaon, Delhi.

NGO India 2012 aims to:
  • Raise awareness of NGOs and their work
  • Create opportunities to showcase the good work of NGOs among the public, to facilitate volunteering, fundraising and other positive action
  • Facilitate NGOs of different sizes serving varied communities to network with each other
  • Connect NGOs with experts in good governance, PR & communications and fundraising
  • Provide a platform that will allow NGOs to engage with government and corporate stakeholders
Why you should exhibit at NGO India 2012

Exhibiting at NGO India is FREE for all NGOs that meet UBM India’s eligibility criteria which will be verified by GuideStar India. At this 3 day event, 150-200 NGOs would be showcasing their work to over 4000 visitors from corporates, grant makers & NGOs and 5000 visitors from the general public. There would be conferences on good governance, fundraising, PR & communications free of cost for NGOs to connect with experts in these areas.

What is GuideStar India's role in NGO India 2012
GuideStar India is supporting UBM India to ensure that the event best serves the needs of the voluntary sector. We would be managing participation of NGOs & Foundations in workshops and carry out due diligence of voluntary organisations for NGO India 2012 registrations.

GuideStar India believes that NGO India 2012 would be a great on-ground event to showcase the work of NGOs and connect NGOs and other stakeholders of the voluntary sector to with each other. This complements well with GuideStar India's online model.

How to register for particpation in the exhibition at NGO India 2012
NGOs and Foundations that wish to showcase their work at the NGO India 2012 exhibition, need to undergo due diligence with GuideStar India. Due diligence and participation in the exhibition is FREE subject to fulfilling eligibility criteria and on first come first served basis.

Group A: NGOs registered with GuideStar India 
Group B: NGOs registered with GuideStar India but not yet visible on the site
Group C: NGOs that have applied for GuideStar India registration but have not yet completed the process
Group D: NGOs that have never applied for GuideStar India registration 


Group A: NGOs registered with GuideStar India

 

Step 1: To start the process, you need to know your GuideStar Number (GSN), Login ID and Password. If you do not know, please write to info@guidestarindia.org requesting for the same.

Step 2: Click here to fill the Application form for Exhibiting in NGO India 2012. Please quote your GSN correctly in the form.

Step 3: Check if all details of your organisation are up to date on the GuideStar India site, especially Correspondence address and Head of organisation’s details. If there are any changes, please  login at http://guidestarindia.org/Login.aspx and update.

We also encourage you to enter your key programmes in the tab FULL REPORT, sub tab PROGRAMMES

Step 4:  Login at http://guidestarindia.org/Login.aspx to access your GuideStar India pages and Upload documents. Please scan your documents in black & white at 72dpi resolution and keep each file size below 1MB.  All pages of the same document should be saved as one PDF file. (For e.g. Trust Deed should be scanned as ONE file and not each page separately). Each document should be a separate PDF file.

Documents required to be uploaded on GuideStar India

  1. 12A
  2. Address Proof Document (Latest Telephone/electricity/Broadband bill /Bank letter/ Any letter issued by a government authority within last 2 months)
  3. Income tax return for assessment year 2010-2011 Or 2011-2012 (Only acknowledgement page stamped by IT Dept)
  4. Audited  Accounts with Auditor’s Report, Balance Sheet & Income and Expenditure Statement   for 2009-10 or 2010-11
  5. Annual Report  for 2009-2010 or 2010-11 (Optional document) 

Step 5: If you are unable to upload, send the documents on a CD with other documents as mentioned in Step 6 & 7. Please write your NGO Name on the CD.  

 

Step 6:  Fill the NGO India Exhibition Contract Form, sign and stamp it and courier it

Step 7: If you have any film about your organisation’s work, send it on a DVD. You can also send brochures.

Step 8: Courier CD with scanned docs (if not uploaded in GuideStar India Site), NGO India Exhibition Contract Form, DVD( if available)to GuideStar India, 814-A wing, Corporate Avenue, Sonawala Road, Goregaon (E), Mumbai-400063,Tel +91-22-26856900/99. Write on the cover “NGO India 2012”. Please do not send any additional documents as we would not be viewing them. Please do not address your courier to any specific individual as some courier companies and postal authorities do not deliver documents if the concerned individual is not present in our office at the time of delivery.

 Step 9: Send a mail to register@guidestarindia.org with Courier/Speed Post details. We would send          you an acknowledgement mail the day we receive your courier.

Last Date: There are ONLY 200 STALLS which would be ALLOTTED TO ORGANISATIONS THAT ARE APPROVED ON FIRST COME FIRST SERVED BASIS. START THE PROCESS NOW!

 

Group B: NGOs registered with GuideStar India but not yet visible on the site

Step 1: To start the process, you need to know your Database Number(DBN). 

Step 2: Fill the Application form for Exhibiting in NGO India 2012. Please quote your DBN correctly in the form.

 Step 3:  Please scan below documents in black & white at 72dpi resolution and keep each file size below 1MB. All pages of the same document should be saved as one PDF file. (For e.g. Trust Deed should be scanned as ONE file and not each page separately). Each document should be a separate PDF file.

Documents required to be scanned and sent on a CD

  1. 12A
  2.  Income tax return for assessment year 2010-2011 Or 2011-2012 (Only acknowledgement page stamped by IT Dept)
  3. Audited  Accounts with Auditor’s Report, Balance Sheet & Income and Expenditure Statement   for 2009-10 or 2010-11
  4. Annual Report  for 2009-2010 or 2010-11 (Optional document) 

Step 4: Send the documents on a CD with other documents as mentioned in Step 5 & 6. Please write your NGO Name on the CD.

Step 1: To start the process, fill the Application form for Exhibiting in NGO India 2012 quoting your RDN in the form. If you do not know your RDN, please write “Not Known”  

Step 2: Please scan below documents in black & white at 72dpi resolution and keep each file size below 1MB.  All pages of the same document should be saved as one PDF file. (For e.g. Trust Deed should be scanned as ONE file and not each page separately). Each document should be a separate PDF file.

Documents required to be scanned and sent on a CD

  1.  Registration certificate of Society/ Trust (or deed with stamp of Sub registrar)/ Sec 25 Co
  2. 12A
  3. NGO’s PAN Card copy or letter issued by IT Department with PAN
  4. Address Proof Document ( Latest Telephone/electricity/Broadband bill /Bank letter/ Any letter  issued by a government authority within last 2 months

Group D: NGOs that have not applied for GuideStar India registration

Step 1: To start the process, you first complete the simple GuideStar India registration process. 

Please fill GuideStar India registration form at http://www.guidestarindia.org/Registerorg.aspx               

Step 2 : Fill the Application form for Exhibiting in NGO India 2012 quoting your RDN in the form. If you do not know your RDN, please write “Not Known”  

Step 3: Please scan below documents in black & white at 72dpi resolution and keep each file size below 1MB.  All pages of the same document should be saved as one PDF file. (For e.g. Trust Deed should be scanned as ONE file and not each page separately). Each document should be a separate PDF file.
